The Virtual Event Program Specialist is responsible for the overall development, planning, coordination, delivery, and execution of AMPP virtual events including industry-specific and regional events as well as the virtual/hybrid components of the AMPP Annual Conference + Expo. The Specialist works with cross-functional stakeholders to design and executive virtual events that achieve organizational goals.


  • Defining virtual event project plan, scope, goals, plans including milestones and deliverables that support the organization’s event strategy and high-quality content meeting industry needs
  • Participating in vetting meetings and demos with outside vendors for audio-visual equipment rental, virtual event platform technology, etc. prior to contracting
  • Overseeing and monitoring vendors to ensure timely and accurate delivery of contracted services
  • Leading regularly scheduled meetings to discuss project expectations with internal and external stakeholders
  • Providing virtual event support materials including user guides, manuals and tutorials that align with organizational branding guidelines
  • Collaborating with IT Department, Marketing Department and all appropriate internal and external service providers to ensure effective registration processes, and promotion (email and website) are delivered in a timely manner to achieve virtual event goals
  • Tracking project change requests, identifying issues and risks, sorting through ambiguity to build appropriate contingency plans
  • Leading training workshops and follow-up meetings with internal and external stakeholders including staff, session organizers and speakers to drive the creation of live, recorded, and on-demand content for the virtual event
  • Organizing and uploading all content to the appropriate virtual event platform (i.e., presentation slides, conference proceedings, videos, photos, etc.)
  • Conducting testing and quality control procedures before and during virtual events
  • Providing support during the live event (in conjunction with vendor-provided support) and troubleshoot technical issues, as needed
  • Coordinating with Conference staff and conference speakers to deliver session content for the hybrid/virtual components offered in conjunction with the annual conference, industry-specific and regional events
  • Assisting in the development of post-event surveys for external stakeholders
  • Delivering post event reports with data-driven analysis including internal and external stakeholder feedback, financial metrics, and improve engagement with recommendations for future virtual events
  • Continuing to keep up to date on virtual event technology, and capabilities to assist in the development of future virtual events

This position does require at least 10% of travel per calendar year. *Depending on industry needs, may require up to 25%. Passport is required.



  • Bachelor’s degree required
  • Minimum of (4) years’ work experience in multi-conference management, volunteer management for non-profit or for-profit organization/company with demonstrated success in the following areas:
    • Proven track-record of delivering virtual events
    • Delivering virtual events across time zones and geographies
    • Knowledge of the UI/UX customer/attendee journey mapping and experience design
  • CMP (Certified Meeting Planner) or DES (Digital Event Strategist) designation, desired


  • Proficiency working in Microsoft Office Suite (including Teams)
  • Adobe Creative Suite (Photoshop, InDesign, Illustrator)
  • CRM/AMS Software and SharePoint,
  • Familiarity with Zoom, GoToWebinar and other virtual event platforms (i.e., Community Brands, Swapcard, CVENT, etc.).
  • Video editing experience, desired.
